Tēnei tūranga – About the role

The Investment Coordinator in the Investment Management and Performance (IMP) team provides business support and process leadership for the planning, coordination and execution of funding processes and contract administration for MBIE’s Economic Development and Tourism investment portfolio. Approximately, 100 million in Crown investment is overseen by the IMP team.

The Tourism investment portfolio includes the Ngā Haerenga NZ Cycle Trails Fund, Tourism Infrastructure Fund, Tourism COVID-19 support packages, MBIE Tourism’s events-related funding, International Conservation and Visitor Levy (IVL) and any other tourism related investment vehicles.

Working with other members of the team, the Investment Coordinator will make a valuable contribution to maximise investment operations to meet New Zealand’s economic, social and environmental goals.

Ngā herenga – Requirements of the role

Personal specifications

  • Experience in project planning and coordination and business processing support. Experience in government processes and best practice in the funding operation and contracting areas is desirable.
  • Have an aptitude to use the Ministry’s Investment Management Systems to configure templates and forms for funding processes to ensure they are fit for purpose. Previous relevant technical experience is beneficial.
  • Have an eye for detail and a high level of accuracy, and good writing and verbal skills.
  • A proactive, solution focused work style with a strong customer service focus and delivery.
  • School level qualification or higher, and be able to demonstrate 2-4 years’ administrative, business coordination or grants funding experience and a demonstrated client focused approach.
  • Must be a New Zealand Citizen or Permanent Resident.

Delivery

The Investment Coordinator will be required to deliver results in the following areas:

  • Support Investment Advisors to develop investment processes that ensure all tasks are captured and tracked as the process progresses.
  • Participate in the planning and development of any new investment funding processes to ensure the processes can be operationalised efficiently.
  • Coordinate funding enquiries, monitor shared mailboxes and provide technical support to applicants needing help submitting their funding applications.
  • Organise and provide logistical and administrative support to assessment panel meetings to evaluate funding applications.
  • Work within the Ministry’s Investment Management System (PITAU) and/or the Financial Management Information System (FMIS) to configure funding applications, assessments, contracts and reporting templates as required, as well managing the invoice process for the payment of grants to funding recipients.
  • Provide contract administration services:
    • Work with Investment Advisors and the Legal team to coordinate and process contracts and contract variations
    • Manage processing of funding payments to ensure contractual and probity obligations are met before processing
    • Prepare and support financial information when required to help manage the fund budgets.
  • Provide high quality general administration services to ensure the smooth running of investment funding processing:
    • Ensure key documentation is accurate and filed to ensure information regarding investment funding processes can be easily retrieved
    • Deliver basic reports and analysis for planning, running and reviewing investment funding processes
    • Researching and collating information for responding to Parliamentary questions, OIA and other correspondence.
  • Provide excellent customer service to external stakeholders.
  • Identify and escalate risks to Senior and Principal Investment Advisors or the Manager, in relation to investment funding processing.
  • Liaise with Auditors to provide information as required.
  • Comply with QA systems, assurance processes and performance standards set for the core investment operations functions.

  • Participate in team discussions, assist in the identification of solutions, and resolution of issues and problems.
  • Support colleagues and peer review/proofread work as requested.
  • Participate in discussions with the team about the implementation of best practice investment processes.

  • Maintain relationships across a variety of functions. Draw upon multiple relationships to exchange ideas, resources and know how. Actively seek to build and develop a network of contacts.
  • Lead collaborative and purposeful relationships with external stakeholders and staff within MBIE to ensure effective process implementation.
